Shopify made building the store cheap: $29 a month, free themes, an afternoon of work. But what decides whether a store lives or dies is not the store. It is the chain behind it: where the products come from, how orders move, who inspects the goods, who ships the parcels, and who answers when something goes wrong.
Here is the version many new sellers actually live. The store is up, the ads are running, the first order lands, and then it starts. The supplier goes quiet for three days. The tracking number does not track. The buyer receives something that does not match the photos. A refund request sits in the time-zone gap for eight hours with nobody watching. Setup guides never cover this, because none of it happens inside the Shopify admin. It happens in China.
This guide is for sellers about to run Shopify dropshipping with a China supply chain. It covers four things:
- What a complete China dropshipping chain looks like, and who owns each step;
- The first-30-days setup list: payments, shipping, taxes, and compliance pages;
- How orders connect to China: manual forwarding, ERP integration, and dropshipping apps, plus how PT5 connects to your Shopify store;
- Tax basics: US sales tax, EU IOSS and the 2026 rule change, and UK VAT, the minimum you need to know at launch.
The full chain: from click to doorstep
Start with the whole picture. A China dropshipping order passes through six stages:
- Sourcing and finding the factory. You find products and factories on 1688, Taobao, at trade shows, or online, and open contact. The small-quantity negotiation is handled by your dropshipping agent (PT5) directly with the factory.
- Listing. Product photos, pricing, and descriptions go into Shopify. Product photography and custom packaging can run in parallel at this stage.
- The buyer orders. The order and payment land in your Shopify admin.
- The order flows to China. After a one-time authorization, orders sync automatically into your fulfillment partner’s order system. PT5 connects Shopify through Dianxiaomi (dianxiaomi.com), a cross-border order-management ERP and an official app in the Shopify App Store. For an occasional test product, you can also just send a product link in the group and have it sourced on demand.
- Fulfillment in China. The agent sources or picks from warehouse stock, runs a routine pre-shipment check on every order (photos and weight shared with you), packs with branded packaging if you want it, and hands the parcel to international shipping; a full 15-point inspection with a written report is available as a paid add-on.
- Tracking and after-sales. The tracking number flows back to the store and the buyer; shipping exceptions, returns, and restocks are handled by your partner.

The point new sellers misunderstand most often: Shopify runs the store, not the goods. The platform handles your storefront, checkout, and order management. Sourcing, inspection, warehousing, shipping, and cross-border logistics all happen outside the platform, with the supply-chain partner you choose. Choosing that partner is, in effect, choosing your store’s fulfillment capability.
Your first 30 days: the setup that actually has to be done
Building the store is not hard. What is hard is making sure every setting that should exist actually exists. The list fits into three weeks.
Week 1: store and payments
- Register Shopify and pick a plan: Basic at $29/month, Grow at $79/month, and Advanced at $299/month (prices averaged across annual billing, as of September 2026; check Shopify’s official pricing page, and note that monthly billing costs more). Start on Basic and upgrade when order volume justifies it. There is also a Starter plan at $5/month for selling through social channels without a full online store.
- Pick a theme, and draft the homepage and product-page structure.
- Payments. Enable Shopify Payments. It is available only in certain countries and regions, and the supported list follows Shopify’s official current rules. After you open the store, the Payments settings page shows exactly which providers are available for your shop. If Shopify Payments is not available for your store, the standard setup is a PayPal Business account plus a credit-card payment gateway that supports your business entity. Confirm each provider’s entity and bank-account requirements before you apply.
- One note: if you use a third-party gateway instead of Shopify Payments, Shopify charges a small percentage-based transaction fee on top, and the percentage is lower on higher plans.
- Connect your domain and set up a support email address.
Week 2: shipping, taxes, and products
- Shipping profiles. Set shipping rates or free-shipping thresholds by destination country or region. Show honest delivery times on product pages, because direct-from-China shipping and overseas-warehouse shipping are two different numbers.
- Tax settings. Shopify can be configured to collect tax by region, but whether you should collect, and how much, follows the tax rules of the markets you sell into (see the tax section below). The platform calculates what it is configured to calculate; the judgment and the filings stay with you.
- List products: titles, images (a white-background real main photo plus supporting and infographic images), descriptions, and pricing that builds in shipping and tax costs.
- Publish compliance pages: refund policy, privacy policy, terms of service, and shipping policy. Shopify has free templates that generate a first draft; edit them to match your actual policies. These pages are not decoration. Payment-provider reviews and ad-account reviews both read them.
Week 3: pre-launch connection
- Decide your fulfillment model, complete the one-time authorization between your Shopify store and the order system, and run one test order end to end (see the connection section below).
- Put real delivery times on product pages.
- Align refund and reshipment rules with your fulfillment partner, and write them into your refund policy.
- Place a test order yourself: walk the full purchase path and confirm that order notifications, address formatting, and confirmation emails all work.
- Set support channels and response-time expectations (the time-zone problem is covered in the mistakes section below).
Two fulfillment models: supplier direct vs. a China fulfillment center
China dropshipping runs on two basic models. The difference is where the stock sits, who inspects it, and who ships it.
Model A: supplier direct
After a buyer orders, the order goes to the supplier through a dropshipping app or by manual contact, and the factory or market stall ships directly to your buyer from its own stock.
- Upside: zero inventory, zero prepayment, and the fastest way to start. It is built for testing products.
- The cost: nobody inspects before shipment, so quality and packaging are entirely up to the factory; tracking updates are unreliable and delivery times swing; the same factory photo is shared by a large number of sellers, so your listing looks identical to your competitors’; and when something breaks, you are negotiating with a factory across language and time zones.
- What it is for: a product-testing tool, not a way to build a brand.
Model B: stock in a China fulfillment center
Once a product is validated, you place a small batch at a PT5 China fulfillment center. Goods are checked in, inspected before shipment, picked and packed against orders, and handed to international logistics, with real tracking numbers flowing back.
- Upside: there is an inspection step before shipment; goods from different suppliers can go out in unified branded packaging; picking and packing happen in a professional warehouse, so delivery times are stable; and stock levels are confirmed with you before you reorder.
- Cost: you hold a small batch of stock (a few dozen units is enough to start, depending on the product). PT5’s China warehouses charge no storage fee for the first 90 days. After that, storage is $10 per cubic meter per month, and slow-moving stock can be moved out at any time.
- Overseas warehouse option: if you want roughly 3-day domestic delivery in the US, stock can move into overseas warehouses through the fulfillment center’s partner network (covering the US, Canada, Australia, and Europe). Fees are paid directly to the partner; PT5 does not prepay or pre-stock on your behalf.

When do you switch from A to B? Three signals: the product sells steadily rather than in scattered test orders; you start spending ad money on it; and buyers start caring about unboxing and delivery speed. Any two of the three, and that SKU is worth moving into a fulfillment center.
How orders reach China: three ways to connect
Orders travel from Shopify to a China fulfillment partner in three ways, each for a different stage:

An honest reminder: automation manages the order flow. It cannot replace pre-shipment inspection, packing standards, or exception handling. Is the tracking number generated after real handover to the carrier, or is it a pre-created label? And when something goes wrong, who owns it and how fast do they reply?
Tax basics: what to know before you launch
First, the boundary: this is a conceptual overview, not tax advice. Tax rules change often (you will see an example below), and before your sales get large, talk to a licensed tax advisor. The information below follows each market’s official current rules, as of September 2026.
United States: sales tax and economic nexus
- There is no federal sales tax in the US; tax sits at state level. Once your sales into a state pass that state’s threshold, you may need to register there, collect sales tax, and file.
- The threshold in most states is $100,000 in annual sales. California, New York, and Texas use $500,000; Alabama and Mississippi use $250,000; Alaska, Delaware, Montana, New Hampshire, and Oregon have no state sales tax (Alaska allows local sales taxes). Most large states now trigger on sales dollars alone, though a few still add a transaction test — New York, for example, requires more than 100 sales in the year on top of the $500,000.
- Sales on marketplaces (Amazon, eBay, and similar) are usually collected and remitted by the marketplace. On a standalone Shopify store, sales tax is the seller’s own responsibility. Shopify can calculate per your settings, but registration and filing are on you.
European Union: IOSS and the July 2026 rule change
- VAT: for B2C parcels valued at €150 or below, import VAT is collected at the point of sale. Sellers can register for IOSS (Import One-Stop Shop): register in one member state, file one monthly return covering the whole EU, and the buyer is not charged VAT again on delivery.
- The customs-duty change (important): from 1 July 2026, the EU removes the duty exemption for parcels of €150 or below and instead charges a temporary flat customs duty of €3 per product type (tariff heading) per consignment. Items of the same product type are charged once: five T-shirts in one parcel are €3 in total, while a T-shirt and a watch are €6. A customs handling fee of about €2 per parcel is expected from around November 2026, but as of September 2026 it has not been finally adopted. The temporary measure runs until July 2028, after which normal tariff-by-code duties resume.
- Pricing impact: the per-order cost of EU direct mail goes up. Do not just mechanically add €3 to the price. Count the product types your parcels create — five items of one product are €3, three product types are €9 — and build VAT into the selling price as well.
United Kingdom: the £135 rule
- For parcels valued at £135 or below, VAT is collected at the point of sale: marketplace sales are handled by the marketplace, while standalone-store sellers must register with HMRC and file themselves.
- Above £135, import VAT and customs duty are collected at the border.
- The UK government has confirmed it will remove the low-value parcel duty exemption from 1 October 2028 — brought forward from the March 2029 date announced earlier — moving in the same direction as the EU. Rules are still shifting, so keep watching if you sell into the UK.

Five chain mistakes new sellers make
- Wrong delivery-time expectations. Listing China direct mail as “3 to 5 days.” The reality is 7 to 15 days or more for direct mail; the 3-to-5-day figure belongs to overseas warehouses. Misstate it on the product page, and refund rates will teach you the lesson.
- No inventory visibility. You list because a supplier says “in stock,” and you are the last to know when it is not. Stock at a fulfillment center, or require inventory status from your partner, before you scale ad spend.
- The customer-service time gap. Your Western buyers’ daytime is China’s night. Refunds, address changes, and shipping questions arrive in the evening; the China team sees them the next morning, by which time the dispute has escalated. Sellers with the budget add overnight customer service, with staff covering your store or support group on your customers’ time zone, during hours of your choice.
- Stocking before testing, or never switching. The reverse failure is just as costly: a proven product still shipping one order at a time, with profit and reviews worn away by unstable dispatch. Switch models on the three signals above.
- Copying compliance templates without editing. Refund policy, shipping times, and tax notes that do not match your actual practice can get payment-provider and ad-account reviews rejected outright.
