1Why the trip is worth it for an online seller
If you run a Shopify store, an Amazon account, or a TikTok Shop business, you probably scroll 1688 and AliExpress every day. The Canton Fair solves three problems that online sourcing never will:
- Touch the actual product. Listing photos and the sample that lands on your desk are often two different things. At the fair you can feel materials, test functions, and compare a dozen similar products side by side in a single afternoon.
- Meet the people who will ship your orders. In China’s supply chain, a supplier who has met you face to face responds faster, cooperates more, and behaves differently when something goes wrong than a contact you only know through a chat window.
- Do your due diligence in one trip. The fair concentrates factories from all over China in one place. Booth meetings plus factory visits in the same week replace months of scattered trips later.
The 140th session covers roughly 1.55 million square meters of exhibition space, with more than 30,000 exhibitors expected. The previous session drew 314,000 overseas buyers from 220 countries and regions (source: China Ministry of Commerce official announcement, July 15 2026). Walk in without a plan and you won’t finish a single zone in three days. You will scan dozens of QR codes and forget every contact on the flight home.
Why the autumn session specifically? The spring session (April) leans toward new-product launches and annual planning. The autumn session (October to November) is where orders actually get placed: restocking for the year-end peak and locking in supply for the next year. Suppliers are also more open to talking to new customers (source: Trip.com Canton Fair guide). If you plan to launch, restock, or replace an unreliable supplier by late 2026 or early 2027, this is the best window of the year.
2Which phase to attend: the e-commerce seller’s cheat sheet
The fair runs in three phases of five days each, with three-day changeover gaps between them. You don’t need all three; you need the one with your products. This table is organized by what e-commerce sellers actually sell, not by the official exhibition catalog:

How to choose:
- One product category: pick the matching phase, focus on 1–2 zones, and 2–3 days is enough.
- Cross-category (e.g. 3C plus home goods): attend two phases back to back, and don’t waste the changeover gap. The halls are closed, which makes those three days perfect for factory trips to Foshan (furniture and appliances), Dongguan (electronics), Zhongshan (lighting), or Shenzhen (consumer electronics), all 1–2 hours by car.
- Not sure which phase your product is in: search your product keyword in English on the official Canton Fair website or app; the booth number shows the zone and phase.
3Buyer badge registration, step by step (plus visa timeline)
Every overseas buyer needs a buyer badge to enter. The good news: Canton Fair buyer registration is open year-round and free, and badge pickup is not limited to the venue.
3.1 Four registration steps
- Create your account on the official Canton Fair Buyer Service System (buyer.cantonfair.org.cn) or in the Canton Fair app. Your name must match your passport exactly.
- Fill in company information: company name, website, main product categories, your job title.
- Upload documents: a scan of your passport photo page (passport valid for at least 6 more months), a white-background ID photo, and your English business card (showing company name and your title).

3.2 Collect your badge in Guangzhou, free, at off-site centers
Don’t default to picking up your badge at the venue; opening day has the longest queues. With your original passport and confirmation, you can collect your badge for free at any of these off-site centers:
- Guangzhou Baiyun International Airport (Terminals 1 and 2), pick it up when you land
- Guangzhou South Railway Station, if you arrive by high-speed train
- Pazhou Ferry Terminal, if you arrive by ferry from Hong Kong
- Designated Canton Fair hotels, collect it at check-in
- Canton Fair Hong Kong Office, if you’re in Hong Kong first

3.3 Invitation letter and visa (for buyers who need a Chinese visa)
- Buyers needing a Chinese M (business) visa can request an official invitation letter in the Buyer Service System after registering. It’s free and usually issued within 3–5 working days.
- Start the visa process at least one month before the fair: submit the invitation letter, passport, visa application form, and flight and hotel bookings to the Chinese embassy or consulate. Visa approval is decided by the mission.
- Travelers of some nationalities may be eligible for the 240-hour visa-free transit policy, but the policy changes. Always confirm with the Chinese embassy or consulate and official notices before you rely on it.
3.4 The timeline that keeps you calm

4Travel planning: hotels, metro, getting online
Venue: Canton Fair Complex (China Import and Export Fair Complex), 382 Yuejiang Middle Road, Haizhu District, Guangzhou, the Pazhou area.
Metro is the most reliable transport:
- Line 8: Xingangdong and Pazhou stations
- Line 11: Pazhou station
- During the fair, roads around the complex are congested and traffic-controlled; taxis get stuck in the last kilometer. The metro drops you at the entrance; it is what repeat buyers use.

Where to stay:
- Around Pazhou (walking distance or 1–2 metro stops): priciest and fastest to sell out; worth it if your schedule is packed and you want a midday break.
- Along Metro Line 8: better value, around 30–40 minutes’ commute, far more availability.
- Prices rise and rooms fill early. Book 4–6 weeks ahead, and prefer free-cancellation rates.
Phone and payment, sort this out before you fly:
- Many apps you use at home don’t work reliably in mainland China. Install and test before departure: Alipay (payments), WeChat (messaging), DiDi (ride-hailing), and the Canton Fair app (exhibitor search, in-venue navigation, digital business cards, AI translation, the ASKME assistant).
- Arrange data ahead of time: international roaming or a local eSIM.

5Floor strategy: shortlisting booths vs. visiting factories
The complex is huge and your time is short. The quality of your fair is decided before you fly.
Before the fair (do it now):
- Use the Canton Fair app or website to filter exhibitors by category and keyword, add target booth numbers to your itinerary, and book meeting times with priority suppliers.
- Plan each day by zone. Finish one area before moving to the next; don’t crisscross the complex.
- Prepare a one-page sourcing spec sheet: product specifications, target price, target order volume, and destination-market certification requirements (CE/FCC/FDA/CPC). Hand it over in meetings and watch your conversation quality double.
Booth meetings and factory visits are two different jobs:
- The booth is a first date: see products, discuss price ranges, judge professionalism. You can meet five suppliers in an hour.
- The factory visit is due diligence: real capacity, equipment, QC processes, licenses. No matter how well a booth meeting goes, inspect before the first large order, especially for custom packaging, private-mold products, and big POs.
- The changeover gaps (Oct 20–22, Oct 28–30) and the days after the fair are the factory-visit window. Pearl River Delta industrial clusters are 1–2 hours away.
On the floor:
- Bring enough business cards, 100 minimum; exchanging dozens a day is normal.
- Large booths usually have English-speaking sales staff, but for deep technical questions, price negotiation, and payment terms, translation quality directly affects your results. The app’s AI translation works for emergencies; for important negotiations, a professional interpreter pays for itself.
- Ask permission before photographing samples; don’t shoot where a supplier says no.
- Wear your most comfortable shoes (10,000+ steps a day is normal) and carry a high-capacity power bank.
6Ordering at the fair: MOQ, samples, payments, and red flags
MOQ (minimum order quantity):
- Booth quotes usually assume bulk-order volumes. If you do dropshipping or small-batch testing, ask explicitly about a small trial order. Many factories will lower the first-order MOQ for a new customer, but they won’t advertise it.
- A booth quote is not a final price. Ask for a written PI (proforma invoice) after the fair, stating unit price, MOQ, lead time, payment terms, and certifications.
Samples and custom tooling:
- Off-the-shelf samples can be bought at the booth or shipped after the fair. Custom items usually carry a sampling fee. Clarify the sampling lead time, the cost, and whether it’s credited against the bulk order.
Payments:
- Legitimate exhibitors accept company-to-company T/T (telegraphic transfer). A common structure in foreign trade is 30% deposit / 70% before shipment, with exact terms negotiated in the contract.
The pitfall checklist:
- Never pay a large deposit impulsively at the fair. Your job on-site is screening and note-taking, not paying.
- Push certifications to the written level. For medical, food, children’s, and personal-care categories in Phase 3, get destination-market compliance confirmed in black and white; ask FCC/CE for electronics, CPC for toys and baby products.
- IP risk is on you. “Same-as-branded” goods carrying well-known logos or counterfeit products get seized by customs and taken down by marketplaces (Amazon, TikTok Shop, etc.); the loss is the buyer’s. Treat IP risk as a selection criterion equal to price.
- Put every promise in writing. Price, lead time, materials, certifications, into email or the PI. Verbal commitments don’t count.
- At the fair: your job is to learn the products and the factories, make contact with the right suppliers, and exchange cards. No need to close a dropshipping deal on the spot.
- After the fair: hand the factories and products you liked to a dropshipping agent (such as PT5). The agent negotiates with the factory on your behalf to secure small-batch purchasing terms.
- Go live: the small batch enters the agent’s warehouse, and orders ship one by one as your store makes sales. Inspection, packing, and shipping are handled by the agent, with no inventory piling up on your side.

7After the fair: from a stack of cards to a working supply chain
When the fair ends, the real work begins. In this order:
- Send follow-up emails within 48–72 hours, while they still remember you: “We met at your booth in Phase X about [product]. Here are our specs and target volume, please send a written quotation.”
- Build a comparison sheet. At least three suppliers per product: unit price, MOQ, sampling fee, lead time, certifications, payment terms, response speed.
- Arrange factory inspection. Order of escalation: video walkthrough, third-party on-site inspection (with a photo report), your own visit. Before the first order, an inspection report beats a booth impression every time.
- Validate with a trial order. Small first batch plus pre-shipment QC to verify lead time, quality, and packaging, then scale.
- Turn winners into long-term supply. Contract, fixed QC standards, a fixed fulfillment arrangement. A factory met at the fair becomes your supply chain only after these five steps.
